Vacancy: EM Administrator

Permanent Contract:

Cape Town, Westlake, Western Cape

PURPOSE

To provide efficient, structured and professional administrative support to the Environmental Management service line

JOB OUTPUTS

Administrative Support

  • Maintain accurate electronic and manual filing systems
  • Prepare and manage internal documents, reports and templates
  • Support procurement processes (quotations, purchase requests, tracking)
  • Monitor invoices, assist with reconciliations and maintain related trackers
  • Manage office supplies, stationery, equipment and administrative registers

Coordination and Scheduling

  • Coordinate meetings, preparation of agendas and minutes
  • Arrange travel, accommodation and related logistics
  • Support the planning and scheduling of internal workflows and deliverables
  • Track meeting log action items and support workflow planning

Contract and Documentation Administration

  • Maintain and update contract registers and associated documentation
  • Provide administrative support for RFQ and tender processes, including submission documentation
  • Monitor contract timelines, deliverables and documentation compliance requirements
  • Maintain registers for contract, licence and administrative document expiry dates
  • Maintain accurate service provider and supplier records

Fleet Administration

  • Maintenance of vehicle documentation and compliance records
  • Scheduling of services, inspections and maintenance activities
  • Coordination of vehicle incidents and related documentation, excluding operational handling
  • Maintain usage reports and prepare Tracker reports

ESSENTIAL REQUIREMENTS

  • Qualification in business administration or general administration
  • Demonstrated experience in an administrative, coordination, or business support role
  • High level of computer literacy, including proficiency in Microsoft Office applications
  • Strong organisational, record-keeping and document management capabilities
  • Experience in the use of administrative systems, tracking tools, and reporting processes
  • Valid driver’s license
